英文メールの書き方:会議への招待に対して逆に日時を提案する
こんなシチュエーション、お仕事でありませんか?
海外拠点で働く同僚から電話会議の招待が。来週に会議ができないか聞いています。
来週もいいけど、ちょうど明日は何も予定が入っていないので、できれば明日がいいな・・・
そんな時は、返信メールの中で逆に日時を提案しましょう。
来週会議を設定しようとしている相手に対して「来週じゃなくて、明日はどう?」と聞く場合、以下のことが気になるのではないでしょうか。
- ▼自分の都合しか考えない自己中心的な人だと思われたくない
- ▼ 「もしそちらの予定も空いていれば」といった、柔らかいニュアンスで日時を提案したい
- ▼ 明日か来週か、相手に選ばせたい
感じよく日時を提案するには、以下のポイントをおさえましょう。
- ▼ 「たまたま明日の予定が空いている」という風に伝わるように”I’m actually free tomorrow”と書く
- ▼ 「もしそちらにも都合がよければ」という風に伝わるように”if that’s convenient for you”などと書く
- ▼ 相手に決定権があることを明確にできるように”It’s up to you”などと付け加える

right nuance. So today I got an email
like this from my colleague, John.
Let me read this for you:
Hi, Kyota.
I was wondering if we could set up a
conference call to discuss the next
campaign. When are you free next week?
Let me know.
Best, John.
OK, so he wants to have a teleconference
with me next week but in my mind, I'm thinking:
Well I'm free all day tomorrow,
I have nothing to do. So it will be great
if we can have the conference tomorrow
instead of next week.
But maybe John is busy and I don't want him to feel
pressured to open up his schedule so suddenly.
So to summarize, I want to say "if we can
have the conference tomorrow, that'll be
great, but if not, sometime next week is
OK too."
So here's what I'm gonna write:
Hi, John.
I'll actually be free tomorrow if that's
convenient for you. Otherwise, anytime in
the afternoon on the 13th, 15th or 16th will work.
It's up to you. I hope we can work
something out.

OK, so as you can see, I have written that
I'm available for a conference tomorrow,
without being too aggressive. I wrote
"it's up to you"
so he won't feel pressured to open his
scheduled tomorrow just for me.
OK, so I'm going to send this e-mail to
John and hopefully we'll have a
teleconference tomorrow.
