様々な要因でプロジェクトが難航。仕方なく期限を延期することになりました。

でも残業続きですでに満身創痍のチームメンバーたちにとって、プロジェクト期間が延長されるのは決して良い知らせではありません。期限の延期を知らせつつ、彼らのモチベーションを保つようなメールを書きたい。

Hello everyone, welcome to E-mail Picks. I
hope you're doing well today. I'm going

to try to keep it short because I'm
fighting a tough deadline and actually

the deadline was even tougher until this
morning. Well my team has been working on

a very important project, but due to the
many problems with our vendor, it has

become impossible to meet the deadline.
So, this morning I talked with the Board

of Directors and I asked for permission
to postpone the deadline. They understood

the situation and gave us three extra
weeks. Yay! Now I'm going to share this

news with the whole team, but actually
this is not really happy news for us

because we had already been working over
capacity for the past few months and

postponing the deadline by three weeks
means that we will need to continue

working at this pace for another three
weeks.

So, in this e-mail I'm going to talk about
all of us taking a vacation after we

complete this project because we need
some kind of hope. OK, so here goes:

Hello team, I have discussed the issues
we had been having with the board, and

they have accepted our proposal to
postpone the deadline until August 7th.

This is certainly a relief for us, but it
doesn't mean our work will get easier

let's have a quick meeting to revise our
work schedules tomorrow morning at 10:00.

In the meeting, let's also decide the dates for your

vacation days because we will need them
after we overcome this tough project

together. Best, Kyota. OK, so I explained
the situation in the first paragraph and

then I communicated that this is not
really good news by writing "this is

certainly a relief for us but it doesn't
mean our work will get easier." The most

important part of this e-mail is that I
set up a meeting to talk about our new

schedule and also about taking a
vacation after the project is finished.

By doing so, this e-mail communicates to
action plans: one is to get the job done;

and two is to control our motivation. So
if I get this project done, I'm gonna

take a week off and stay home and do
nothing.
